How to Book an Event or Rent a Space at Okanagan College
Information for Community Members
Okanagan College offers versatile venues for trade shows, conferences, workshops, meetings, seminars, and weddings. Follow these steps to ensure a smooth booking process. Providing complete details in the request form helps our team allocate space efficiently, gather necessary information, and prepare accurate quotes.
Step-by-Step Instructions
Step 1: Submit the OC Campus Event & Room Request Form
Complete the form with as many details as possible. This helps our team understand your event requirements. If we need clarification, we will contact you directly.
Step 2: Review and sign your contract. Once your request is processed, you will receive a contract. Read it carefully and sign the last page. If you have questions about your contract, email:

Step 3: Provide insurance coverage. Your insurance must meet the requirements outlined in Section 20 of the Agreement:
- Comprehensive general liability insurance of at least $2,000,000 per occurrence for bodily injury and property damage.
- Coverage must include your group, its representatives, and Okanagan College as additional insureds.
- The policy should cover premises and operations, contractual liability, cross liability, and tenants’ legal liability. Larger or higher-risk events may require additional coverage.

Q7: What is your cancellation policy?
A7: The Okanagan College cancellation policy is:
- Cancellations must be received 10 business days prior to the event date.
- If a cancellation is not received within the required time, the renter is responsible for costs of services already performed or contracted for in preparation for the event.
- These costs may be deducted from the damage deposit or charged directly to the renter.
Q8: How can I pay for parking?

Q9: I want to pay for parking for myself and the attendees of my event or room booking.
A9: If you are hosting an event and plan to cover parking costs for all attendees, there are two options:
- Per Vehicle: Provide our team with the estimated number of vehicles attending. We will charge per vehicle and send you a parking link prior to your event. Attendees can enter their license plate number upon arrival.
- Lot Purchase: You may choose to reserve and purchase an entire parking lot for your event.
Q10: How can I connect my laptop for presentations?
A10: Most rooms are equipped with AV systems that have laptop connections. If you need adapters or specific cables, please let us know in advance so we can confirm availability or advise you on what to bring.
Q11: I would like to play music at my event. What are SOCAN fees?
A11: SOCAN fees are charges for music licensing in Canada, administered by SOCAN, The Society of Composers, Authors, and Music Publishers of Canada. SOCAN ensures that music creators are compensated when their music is played publicly. Under Canada’s Copyright Act, playing live or recorded music in public requires permission from rights holders.
