Camp OC Policies and Procedures

Please refer to the sections below to address common questions about Camp OC Policies and Procedures.

Registration

  1. create a family account.
  2. Add child(ren) as members to family account
  3. Fill out and submit the parental consent forms – 1 for each child
  4. Browse our camps and make note of which camps/weeks you want to register your child in.
  1. Sign into your family account just before registration opens
  2. Select the camp you want to enroll your child in and add it to your cart
  3. Go to your cart and click ‘add family member’ and select the child you want to register in that camp
  4. If you are registering for multiple camps repeat steps 2 & 3 for each camp you want to register in.
  5. Select check out and proceed to payment page

Please note: 

Camps are not reserved while in your shopping cart. They are only reserved during the payment process once you checkout. If a camp that you are adding to your cart says that spots are available, please remember that your spot in that camp is not reserved just by adding to your cart.

Helpful Tip:

If there is an important camp that you want your child to be signed up with, please add this camp right away to your cart and immediately checkout/pay for this camp. This will allow you to have a higher chance of not losing important camps due to camps not being reserved while in your shopping cart.

Once you have paid for your most important camps, you can then continue to browse for other camps.

Payment for camps has to be done online and cannot be done over the phone. If you are experiencing any slowness or lengthy loading times with your payment being processed, please be patient.

Please note: During the first few days of registration, our system can experience a very high volume of traffic which may cause our systems to slow and cause a delay in processing your payments.

Waitlist requests are processed in the order they come in.

When a spot becomes available:

  • the first person on the waitlist will receive an email with the option to enroll in the camp. In order to enroll in this section, or if you are no longer interested in the course, please call us at 250-862-5480.
  • Your invitation to enroll is valid for 72 hours. If we don't hear from you within 72 hours, you will be removed from the waitlist.
  • Once your child has been registered in the waitlisted course, you will have 24 hours to pay for the camp. If payment is not received within 24 hours - your child will be dropped from the camp and the spot will go to the next person on the wait list.
  • If your child is already enrolled in a camp, and you are offered a seat from the waitlist, you must call Okanagan College to transfer from one camp to another.
Camp OC Age Categories:
  • Mini: For children born 2018-2020 and entering Grades 1-3 in Fall 2026
  • Junior: For children born 2015-2017 and entering Grades 4-6 in Fall 2026
  • Senior: For youth born 2012-2014 and entering Grades 7-9 in Fall 2026
  • College Bound: For students born 2009-2011 and entering Grades 10-12 in Fall 2026

We design camps to fit each age group’s need and learning levels. We generally do not allow campers to register in an incorrect age group or camp, as the camp experience will not be ideal for the child as well as other children in the camp.  

If, due to medical/developmental exceptionalities, you feel your child would do better in a certain age group, please contact the Camp Coordinator at your campus to discuss your options.  

Transfer requests can be made via email. Please email campoc@okanagan.bc.ca and our staff will contact you in the order of inquiry.

Camp OC Policies

Sign In & Out

All campers need to be signed in and out by a parent/guardian each day (unless otherwise authorized). If a camper is to be picked up by someone other than a parent/guardian, please include their name under the “permission for pick up” portion of the parental consent form and notify the camp instructor in advance. Please bring your ID when you pick up your child.

If your child is biking, walking, taking the bus, or has alternate arrangements to get home at the end of the day, please indicate they can sign themselves out under “Permission for pick up” on the parental consent form.

Timing

Drop off for camp is between 8:10am and 8:30am. Please note that there are no planned activities before 8:30am and many of the teachers don’t arrive before 8:00am. Pick up is at 3:30pm.

For Kelowna & Penticton, we offer After Camp Care for an additional fee from 3:30pm – 5:00pm.

Parking

Parking is free during camp drop off and pick up times. 

If your child is absent from Camp, please notify camp staff by calling or emailing your campus. It is the parent's responsibility to make sure that their child gets signed in at the beginning of camp. You will not be notified if your child is absent from the program.

If your child is going to be dropped off late, please drop them off at their classroom. No phone call is needed unless your child’s camp is going on a field trip.

Please note refunds are not given for days missed.

Cancellations & Refunds

A $30 administration fee (per camp, per child) applies to all Camp OC cancellations and drops, regardless of the time between registration and the drop request. This fee also applies to registrations made in error.

  • A full refund (less a $30 administration fee (per child, per camp) will be issued if the request to withdraw is made at least 14 days before the camp start date).
  • Requests made less than 14 days before the camp start date will be refunded 50%, less a $30 administration fee (per child, per camp).
  • No refund is provided after the camp/program start date unless there are extenuating circumstances. In such cases a written request for refund or credit toward another camp, accompanied by appropriate documentation (i.e., medical note) is required. This documentation must be submitted to the Associate Director.

No refund is provided for days missed or forgotten camps.

Injuries & First Aid

Your child’s safety and well-being is our priority at Camp OC. 

In case of a medical emergency, Camp OC has trained First Aid people on staff to help care for your child.

  • Minor first aid - such as slivers, scrapes, bruises, nosebleeds, etc., will be dealt with when it happens, and we will inform you about it at pick up.
  • Medium first aid – such as hit to the head, deeper non-life-threatening scrapes, and cuts (might need stitches), sprains and strains, etc., will be dealt with by calling the emergency contact and handled on a case-by-case basis.
  • Major first aid – such as loss of consciousness, broken bones, severe allergic reactions, etc., we will FIRST call 911, and then contact the emergency contact.

On the Parental Consent form, you will be asked to consent to medical attention in case of emergency.  

Illness Policy

Parents will be notified if the Camp Coordinator feels it is necessary for the camper to be picked up early due to illness or injury. In the event a significant injury or illness occurs, camp staff will contact medical services and the parent/guardian.

  

At Camp OC, we foster a collaborative environment that celebrates the unique identities, abilities, and diverse perspectives of every child and staff member to ensure a true sense of belonging. To protect this inclusive space, Camp OC expects all campers to behave respectably toward others, staff, and facilities; while we strive for open communication with families, we reserve the right to remove a child without a refund if inappropriate behavior persists. We encourage parents to contact their campus Coordinator with any concerns as we work together to provide a safe, high-quality camp experience.

Camp OC Rules

Rule #1 Stay on Campus - Campers are not allowed to leave the campus on their own. They need to be signed in and out or have written approval from a parent/guardian for other arrangements. 

Rule #2 Respect - People, Equipment, and the Campus 

Rule #3 Fun - It is important that each and every person at Camp OC has FUN! In order to ensure this, the above two rules must be followed.

 

All Campers Will

  • Respect the privacy and dignity of others. Campers, and other members of our Camp OC Team, must not photograph, record audio or video of other students, faculty, or staff without the express consent of the supervising faculty and those being recorded.
  • Ensure personal digital devices are not used in areas where privacy is expected, such as restrooms and change rooms;
  • Be permitted to use personal digital devices to support accessibility, medical and health needs;
  • Always take precautions to ensure online safety, privacy and security;

Grade 1- 6 Campers will:

In alignment with the School Districts Cell Phone Policy, all campers will:

  • Be asked to power off, secure and store all personal digital devices in their backpack during instructional (i.e. class time) and non-instructional time (i.e. breaks/lunch) unless directly instructed by Camp OC staff.

Grade 7-12 Campers/Volunteers will:

In alignment with the School Districts Cell Phone Policy, all campers will:

  • Secure, power off and store all personal digital devices in their backpack during instructional (i.e. class time) unless directly instructed by the Camp OC staff;
  • Grade 7-12 campers are permitted to use their personal digital device during lunch and other breaks provided they are away from the younger campers.

 

****Please Note****

The use of personal digital devices during camp is a privilege that requires responsibility and adherence to the established policies. If campers do not follow the above guidelines, their device will be temporarily collected by Camp OC staff for the remainder of the day. All collected devices will be stored securely in the classroom’s Digital Device Hotel.

At Camp

Summers in the Okanagan are awesome! We always strive for the campers attending Camp OC to be outside for most or a portion of the day. Please have your child dress accordingly as lunch and breaks are generally spent outside where campers will have access to various outdoor equipment and activities.

When required (such as smoke or extreme heat), campers will have access to inside play, games, and activities.

Will lunch be provided?

No, we do not provide lunch or snacks to the campers. Parents are required to provide their child with lunch, snacks and drinks (nut-free, please).

Do kids have access to on campus food/vending machines?

No, campers will not have access to vending machines and there are no food services available on campus. Please send a packed nut-free lunch with your child each day.

Most of the Camp OC instructors are teachers by trade. They are all professional educators with experience in teaching. All Camp OC instructors and employees have complete background checks (CRC's).  Many also have First Aid training.

Anywhere from 10-20 campers per camp. 

We have one teacher for each camp with up to 20 campers. 

Most camps also have additional student helpers to assist in the classrooms. 

CEA support at CAMP OC varies by campus and is provided on a general basis. While we are committed to creating an inclusive and supportive camp environment, our CEAs are not able to provide one-to-one assistance. Support is shared across our camp community to meet needs as they arise.

If your child requires dedicated or higher levels of support, we encourage you to contact us before registering. We’re happy to discuss your child’s needs and determine whether we can provide appropriate support. In some cases, you may be asked to provide a CEA or support person to attend camp with your child to help ensure a safe and successful experience.

Some of the camps will have field trips. An additional “Field trip form” will be handed out in class, if applicable.
